HOW PAYMENT DEFENDER WORKS

From Dispute to Resolution

A payment dispute can move quickly from a cardholder’s bank to an alert, refund, chargeback, or evidence request. Payment Defender connects those events to the original transaction so the next action is based on the full payment story — not one isolated signal.

AlertBridge™ acts as the decision layer, matching eligible dispute activity to transaction records, refund history, merchant context, and rules before an action is routed. That helps resolve appropriate cases earlier, reduce duplicate-credit risk, and keep the cases that continue into chargebacks organized through final disposition.

THE DISPUTE BEGINS

It Starts With a Question at the Bank

A cardholder sees a transaction they do not recognize, believes something went wrong, or wants to challenge a purchase. They contact the bank that issued the card, and the issuer reviews the claim.

Depending on the network, issuer, merchant enrollment, and circumstances, the next signal may be a transaction inquiry, fraud report, pre-dispute alert, or formal dispute. Not every case creates an alert — but when eligible information arrives early enough, the merchant may have an opportunity to act before the case becomes a full chargeback.

STEP 01

Cardholder Questions a Transaction

The customer contacts their issuing bank about a payment.

STEP 02

Issuer Reviews the Claim

The issuer evaluates what the cardholder reported and determines how the case proceeds.

STEP 03

A Payment Signal Is Created

Depending on the case, that may include an inquiry, fraud report, pre-dispute alert, or formal dispute.

THIS IS WHERE PAYMENT DEFENDER ENTERS

ALERTBRIDGE™ DECISION LAYER

One Alert. The Full Payment Story.

An alert by itself does not answer the most important question: what should happen next? Payment Defender connects the incoming case to the records that can change the answer before money moves.

STEP 01

Receive

Eligible alert or dispute information enters the Payment Defender workflow.
STEP 02

Match

AlertBridge™ connects the case to the correct merchant account, transaction, order, and available customer context.
STEP 03

Check

Refund Guard™ reviews connected refund and credit history to determine whether money may have already moved.
STEP 04

Assess

Payment context, fulfillment information, existing dispute activity, and merchant-defined rules are reviewed together.
STEP 05

Route

The case moves toward the appropriate eligible action, exception review, or chargeback workflow.
STEP 06

Record

The outcome stays connected to the transaction so the next event does not begin without context.

THE DECISION IS THE AUTOMATION

Payment Defender is designed to automate the review around the action — not blindly automate the same action for every dispute.

REFUND GUARD™

Check Before Money Moves Again

A customer-service refund and a dispute do not always travel through the payment ecosystem on the same timeline. That means an alert can arrive even when the merchant has already refunded or credited the transaction.

Before another credit is issued, Payment Defender checks the connected payment history.

PATH A
NO PRIOR CREDIT FOUND

Continue evaluating the case under the merchant’s rules and the applicable dispute program.

PATH B
PRIOR CREDIT FOUND

Surface duplicate-credit risk and route the case using the existing refund and dispute context instead of blindly issuing another credit.

The objective is not to deny valid refunds. It is to prevent a legitimate customer resolution from accidentally becoming two credits for the same transaction.

DECISION OUTCOMES

Not Every Dispute Takes the Same Path

RESOLVED EARLY

Eligible Pre-Dispute Resolution

The transaction is matched, the payment history is checked, and the appropriate eligible action is completed within the available pre-dispute workflow.

Outcome recorded before further escalation.
DUPLICATE RISK FOUND

Existing Credit Identified

A refund, partial credit, cancellation, or related payment event is already connected to the transaction. Refund Guard™ surfaces that history before another action is routed.

Existing money movement stays part of the decision.
CHARGEBACK PATH

Additional Review Required

The case is not resolved during the early window, requires evidence, or arrives as a formal dispute. It continues into the chargeback workflow.

Chargeback Shield™ keeps the next stage organized.

CHARGEBACK SHIELD™

When Early Resolution Is Not the End

Some disputes will continue into the formal chargeback process. At that point the job changes from early resolution to case management, evidence, deadlines, and response.

1

FORMAL DISPUTE

A chargeback or formal dispute is opened and connected to the original transaction.

2

REVIEW THE CASE

The network, reason code, amount, processor deadline, refund activity, order history, and available response options are reviewed.

3

CHOOSE THE RESPONSE

The merchant can accept the case when appropriate or prepare a response when the transaction facts support one.

4

PREPARE EVIDENCE

Transaction Proof™ helps organize relevant transaction, authorization, order, fulfillment, refund, and customer records.

5

SUBMIT THROUGH THE DISPUTE CHANNEL

The applicable response moves through the merchant’s processor or acquirer and card-network dispute process.

6

FINAL DISPOSITION

The case is resolved based on the applicable rules, evidence, timing, and case facts.

EARLY RESOLUTION

The case is handled before formal chargeback escalation where the applicable program permits it.

CHARGEBACK STANDS

The chargeback is accepted or upheld and the associated financial outcome remains.

CHARGEBACK REVERSED OR CASE CONTINUES

A response may result in reversal of the chargeback, or the case may continue through additional network stages where applicable.

Formal dispute procedures and later stages vary by card network, processor, region, reason code, and case. The processor or acquirer deadline shown for the individual case should govern the merchant’s response.

  • Check refund history
  • Apply configured merchant rules
  • Route eligible actions
  • Record outcomes

REVIEW WHEN CONTEXT MATTERS

  • Unmatched transactions
  • Incomplete connected data
  • Conflicting refund records
  • Complex fulfillment situations
